JOB TITLE: Alumni Relations Coordinator (or Assistant)

SCHOOL / DEPT: Advancement Department

LOCATION: Er Sha Island & Science Park

REPORTS TO: Deputy Director of Advancement


OVERVIEW:

The Alumni Relations Coordinator reports to the Deputy Director of Advancement and provides support for the initiatives, projects, and events managed by the Advancement Office.  The Coordinator will serve as an office manager, maintaining inventory, records, schedules, calendars, timelines, and other logistics. The Coordinator role will likely require significant work outside of the school’s normal business hours. As the AISG Advancement Office is a young and evolving department, the ideal candidate will be flexible and open to change, as well as able to take personal initiative and work independently on long-term and complex projects. As the work of the office may involve contact with top corporate and government contacts, a high level of professionalism and maturity is required at all times.    


MAIN DUTIES / RESPONSIBILITES:

Office manager:

Provide administrative and organizational support for the Advancement Office, including archiving print and electronic materials, coordinating meetings and project logistics, tracking payments and expenses, and managing inventory.


Chinese language support:

Translate written documents from Chinese to English (and vice-versa) and provide real-time oral translation as needed from Mandarin Chinese or Cantonese to English (and vice-versa).

 

Alumni records, data entry and database management:

Manage the AISG information system tasks for the Advancement Office including compiling and systematically organizing AISG alumni records, and completing data entry for all Advancement needs.

 

Graphic design / Photography / Stock images:

Assist with the coordination between the AISG Communications Specialist and Graphic Designer(s) in the timely creation and/or revision of marketing materials or projects. Make simple text, layout, image and photo edits for web and desktop publishing items, and maintain the AISG Photo and Stock Image archive.

 

Outside events, functions and guest relations:

Ensure that guests to AISG receive a proper greeting and receive excellent customer service during their time at the school.  Assemble AISG marketing materials for use at functions or events.  Help to staff AISG booths and provide on-site assistance at outside events as needed.

 

Marketing/Communications:

  • Maintains brand image, positioning and messaging for AISG; maintains image and identity standards for AISG.

  • Conducts community opinion polls and solicits feedback from AISG’s stakeholders through formal and informal means regarding AISG initiatives, programs and decisions.

  • Provides support and direction in effective communications and marketing to school-based customers.

 

Additional tasks:

Complete special projects or tasks as assigned by the Deputy Director of Advancement.


QUALIFICATIONS REQUIRED:

  • Bachelor’s degree (preferably in English, Business, or Marketing). 

  • Fluent in spoken and written English and Chinese (Mandarin and Cantonese)

  • Detail-oriented, highly organized and careful

  • International experience

  1. Work or study-abroad experience in an English-speaking country

  2. Work or related experience in an international organization

  3. Experience with or knowledge of the AISG community

  • Flexible personal schedule to accommodate work on evenings and weekends

  • Technical proficiency

  1. Microsoft Office Suit, esp. Outlook, Word, Excel, and Powerpoint

  2. Desktop publishing, esp. InDesign, Acrobat Suite, Photoshop

  3. Apple Computing environment

  4. Database management

  5. Social Media

  6. (weibo, facebook, twitter, etc…) and web-based applications

  • Experience working with the Advancement experience a plus, schools or community organizations

  • Event-planning experience

  • Friendly and personable
