JOB TITLE: Assistant to Secondary School

JOB GOAL / PURPOSE:
Provide secretarial support to the Secondary School Principal, Assistant Principal, Secondary School Counselors, Secondary School teachers, parents and students.
DUTIES / RESPONSIBILITES:
Responsibilities:
The person is responsible for providing secretarial support to the Secondary School Principal and document translation for the Secondary School office when needed. He/she has to manage the office, including the calendar and document filing for the Secondary School Principal. He/she will work closely with Principal, Counselors, Assistant Principal, and School secretaries.
Duties: (shared between three secretaries in the Secondary Office with a focus on Upper Secondary School)
Incoming & outgoing school mail/fax, including university-related and other courier tasks
Student withdrawals, student schedules, student records & files, report card filing, attendance & ID cards.
Manage the day-to-day functions and operations of the Secondary School Office
Ordering supplies for events and activities as needed, through AISG’s online ordering system
Working with Student Information System to input and extract data, including schedule, attendance and grades
Secretarial support to Secondary Principal, Assistant Principal, Counselors and IBDP coordinator; secretarial support will also be provided to Curriculum Coordinator and IT Director for special projects
Travel arrangements for Secondary School business, including China Trips and arranging cars for faculty and admin when necessary
Attend to all Secondary School Office visitors and respond to enquiries and requests for information about the School.
Collect and enter daily student attendance
Responsible for the updating of information on relevant sections of the AISG website and printed publications.
Provide assistance with school related business to teachers as needed.
Secondary School Office Communication.
Provide document translation from Chinese to English and English to Chinese for the Secondary School Principal and Secondary School office as requested.
Graduation
Attend to all enquiries and requests and provides information about the School; may include admission tours
Responsible for the compilation of Secondary Handbook and other publications.
Provide assistance to teachers as needed.
Enter reimbursements for program expenditures and payments, including teacher reimbursements for benefits and/or other school related activities
Maintain the substitute teacher list and make appropriate arrangements
Act as an interpreter for parent visits and selected events
Other tasks and duties as assigned by the Secondary School Principal, including support at occasional evening or weekend events
QUALIFICATIONS AND EXPERIENCE REQUIRED:
The person must be detail minded, well-organized, a proactive problem solver, demonstrate initiative and excellent follow-up. He/She must be English fluent (Temp.8) and preferably has at least 2 years of experience as an English-language speaking secretary. Excellent computer skills (MS Word, Excel and Power point, Survey software, Online sign-up software).
