Position: Executive Assistant

 

Location: Guangzhou


Report to: Office Manager

 

Organisation: Gowling WLG (UK) LLP Guangzhou Representative Office

Main Purpose of Job:

We are looking for a self-driven and ambitious English speaking Executive Assistant to join our team! As an Executive Assistant at our firm, you will be responsible for supporting the CRO, Office Manager and senior members through a variety of tasks related to organisation and communication on a daily basis.

 

Main Duties and Responsibilities:

Billing & Compliance

  • Support the IP team on monthly billing;

  • Support the IP team with compliance tasks, including, but not limited to, conflict searches, engagement letters, client opening & matter opening.

 

Secretarial & Clerical Support:

  • Proactively manage phone/email queries and couriers;

  • Receive visitors and provide general support;


  • Provide diary management & support for internal meeting arrangements;


  • Book and organise travel arrangements;


  • Maintain and develop an organised filing system;


  • Submit and reconcile expense reports;


  • Assist with the organisation of office events, seminars, team retreats and projects;


  • Provide general administrative support when needed;


  • Other ad hoc duties as requested; and


  • Keep the Office Manager updated and fully informed at all times of progress on work matters.


Requirements & Qualifications:

  • Proficiency in English;

  • Proven experience as an executive assistant;

  • Knowledge of office management systems and procedures; •Attention to details;

  • Critical thinker and problem-solving skills;

  • Good time management skills with the ability to prioritise work and multi-task;

  • Great interpersonal and communication skills;

  • Proficiency in MS Office (Word, Excel, PowerPoint and Outlook);

  • Sense of ownership and pride in their performance and its impact on the firm¡¯s success;

  • Strong willingness to contribute to team effort by accomplishing related results as needed.

Standard Hours of work: 9.30 am ¨C 6.00 pm  Monday ¨C Friday with 1 hour for lunch
