OVERVIEW
LEH International School Foshan will be formally opening to students aged between 10 and 18 in September 2020. Its parent school, Lady Eleanor Holles School in Hampton, London was established in 1710 and consistently achieve outstanding academic results. Last year, 98% of the students achieved grades A*-B at A Level and 93% grades A*-A (levels 9‑7) at GCSE. Over 10% of the students attained a place at either Cambridge or Oxford University.
LEH International School Foshan will follow the footsteps of its parent school in providing a holistic British education to young people with a focus on their pastoral care. The students also have the option of weekly or termly boarding to take advantage of the School’s extensive facilities.

THE POST
I. Background
The Procurement Assistant will support the Procurement Manager in the provision of a professional, effective and knowledgeable service for the procurement and supply of equipment and resources required by the staff and students of the School.
As part of the Procurement Team, the post-holder will provide accurate, timely and auditable assistance in the administration of the School’s procurement processes.
II. Job Responsibilities
Support the Procurement Manager in the smooth and efficient day-to-day running of the Procurement Department;
Work with teaching and support staff in the preparation of purchase requisitions;
Ensure tight version control of requisitions, especially the large annual academic resources requisitions, before final orders are placed;
Check validity of procurement requests to ensure compliance and communicate with staff to resolve any issues as appropriate;
Verifying information on the products/services, supplier, cost and delivery details before obtaining sign-off for the requisition and subsequently the purchase order;
Raise purchase requisitions/orders and administer other procurement related tasks in the School’s financial system;
Investigate queries and discrepancies with requisitions, orders, receipts and invoices and escalate as required;
Check that deliveries have been made, match ordered quantities and standards to receive goods/services and process any returns/damaged or substandard items or raise any mismatch queries with the suppliers
Assist staff with any delivery or ordering queries;
Ensure all received goods are delivered to the requestors on a timely basis;
Follow up with suppliers on delivery times including domestic and overseas shipments;
Prepare price comparisons and contribute to procurement projects under the direction of the Procurement Manager;
Provide up-to-date supplier information to the Finance Department and input to the Financial systems as required;
Assist with the administration of internal and external invoicing, credit control and accounts reconciliation as required by the Finance Department and/or the Procurement Manager;
Undertake any ad hoc administrative tasks related to the day-to-day operation of the Procurement Department;
Performing any other tasks as reasonably requested by the Procurement Manager, the Director of Finance and Operations and the Head Master.
III. Requirements

Essential:
Bachelor’s degree in business administration or relevant field;
Experience in working in a procurement, finance or administration team;
Strong working knowledge of MS Excel and Outlook;
Some knowledge of procurement and administration systems and processes;
Fluent in Mandarin (essential) with working language proficiency in English (essential) and Cantonese (preferable);
Excellent attention-to-detail and organisational skills;
Ability to work to tight deadlines and manage several priorities at the same time;
Ability to deal with a high volume of data and administrative tasks accurately and efficiently;
Ability to work within a changing environment;
A team player who can also work independently;
Willingness to help others;
Excellent communication and interpersonal skills.
Preferred:
Experience of undertaking procurement exercises or tenders for goods and services;
Experience in pricing and/or contract negotiation;
Experience in a multi-national company or an education environment.

THE POST
I. Background
The Accounting Assistant will be responsible for supporting the Finance Manager and carrying out the day-to-day clerical and accounting tasks in all areas of the Finance Department. These may include, but not limited to, book-keeping and cashiering duties, budget and report preparation.
II. Job Responsibilities
Supporting the Finance Manager in the efficient and accurate day-to-day running of the Finance Department;
Preparing financial documents such as invoices, bills, and accounts payable and receivable slips;
Preparing bank deposits and payments and visiting the bank to process these;
Working with Human Resources and assisting expat staff to open bank accounts and with any associated workflows;
Entering and maintaining the financial information into the finance system and the records are accurate and up to date;
Preparing bank and accounts reconciliation and variance reports as necessary;
Managing day-to-day financial transactions such as purchase orders, supplier invoices, fee bills, credit and debit notes, staff expenses, school trip expenses, petty cash, etc. as required;
Maintaining electronic and physical accounting records;
Assisting staff, parents, students and suppliers with financial, budgetary, billing and payment enquiries;
Preparing financial reports as part of the budget and regular management reporting process under the direction of the Finance Manager;
Coordinating internal and external audits;
Performing any other tasks to the reasonable request of the Head Master, the Director of Finance & Operations and the Finance Manager.
