JOB TITLE: 

Administration Assistant

RESPONSBILITES:

 

1.      Responsible for local purchase of school equipment, materials & supplies for Middle and High School with proper authorization

-          Set up and maintains a local supplier data base to ensure the school receives quality materials and services in a timely manner at a reasonable cost

2.      Responsible for sourcing and price quoting from local contractors

-          Set up and maintains a local contractor base to ensure the school receives quality materials and services in a timely manner at a reasonable cost

3.      Responsible for inspecting products received for quality and quantity to ensure adherence to the specifications.

4.      Responsible for proper filing of reports, forms and information on

-          Status of purchase orders

-          Correspondence with vendors

-          Returns/Replacement/Refund

-          Vendor/contractor list

-          Catalogs

5.      Yearbook printing project

6.      Perform other duties as assigned by the Purchasing Manager and CFO/COO.

 

QUALIFICATIONS AND EXPERIENCE REQUIRED:

 

1.      At least 3 years experiences in purchasing role;

2.      Integrity can be trusted to perform duties in a proper and honest manner;

3.      Adheres to purchasing policies, processes and procedure

4.      Excellent communication and negotiation skill;

5.      Be able to create and administer a task priority base on school needs;

6.      To be flexible and adaptable, self-motivated;

7.      Ability to absorb and retain information quickly.

8.      Ability to present ideas.

9.      Experience working in a team-oriented, collaborative environment.

10.  Good command of English in both verbal and written;

11.  Be able to work under pressure and willing to work overtime when it is appropriate;

12.  Knowledge of Microsoft office required

13.  Bachelor degree.
